The reception problem

A paper visitor book shows names to every later visitor, hosts find out late, and in a fire drill nobody is sure who is still inside.

How reception runs on vFound

Invite guests ahead with a QR pass by email, share a registration link, or pair any lobby tablet with a ten-minute code. There is no visitor app or account.

• Visitor types for interviews, contractors, deliveries and your own each have their own questions, terms, badge colour, approval and retention.
• The host gets an email and can reply from a private link, without an account, that they are on the way.
• Multi-day passes work once on each valid day, for contractors on a longer job.
• Badges print in three sizes, and anyone left signed in is signed out automatically after the day ends.

For coworking spaces

Put members on the shared people list so guests can name who they are visiting. Import CSV, keep a public HTTPS CSV current each hour, connect OfficeRnD Flex with flex.community.members.read, or connect a customer-owned Microsoft Entra application with administrator-approved User.Read.All. These connections read only the identity and active state vFound needs and never create staff accounts or roles.

• Members on the people list can invite their own guests from their private My vFound page, without a staff account, and answer “On my way”, “Please wait 5 minutes” or “Not my visitor” when a guest arrives. The reply shows at the desk and on the guest’s pass.
• The OfficeRnD Flex sync reads only each member’s ID, name, email and active status, with an optional location filter, so a site’s list holds the members who use it.
• Each location runs as its own venue, with its own QR sign, visitor types and roll call, and one owner sign-in switches between them.
• When the space also uses vFound Parcels, delivery visitors appear there and member parcels use the same people list.

Safety without collecting more than you need

A live roll call on any phone shows everyone signed in, and several marshals can mark people safe at once, with a final report. Each visitor type can optionally require a private visitor photo or a staff-recorded visual check of a physical photo ID. vFound stores no ID document image or number and runs no facial recognition or watchlist.
