FOR GYMS & FITNESS CLUBS

The class ended at seven. The earbuds are still by the squat rack.

Gym lost and found software gives every bottle, towel, pair of earbuds and forgotten key a photo, a location and a shared record, so members check a page before asking the front desk, and your team stops sorting a bin of identical black water bottles at every shift change.

With vFound, front desk staff photograph an item on the phone or desk computer they already use, publish it to your club’s own branded page, and members recognize it by sight and claim it with private details before their next visit.

Why the gym lost and found bin never empties

Gyms lose the same things every day: water bottles and shaker cups on the gym floor, towels on benches, earbuds and headphones by the racks, gloves and lifting belts in the studio, keys and fobs on the treadmill console, rings and watches taken off before a class. At closing, lockers are cleared and whatever was left becomes a bag of mixed clothing behind the desk.

Most clubs track this with a clipboard or a box. An entry like “black bottle, weights area” matches half the bin. The member asks the evening shift about something the morning shift found, nobody remembers where it went, and the box overflows until someone clears it out with no record of what was there.

How vFound works at the front desk

Whoever is on the desk logs the item in the browser: a photo, a title, a category, where it was found and where it is stored. There is nothing to install. Your club gets its own branded page at its own vFound address, plus a printable QR sign for the desk and the changing rooms.

  • Members search the page by keyword, category or date, any time, from their phone, with no account and no app.
  • A member who recognizes their bottle or earbuds submits a claim with private details, such as a sticker, an engraving or the case colour.
  • Your team compares those details against the item and any staff-only photos, then accepts or declines the claim.
  • The claim moves to ready for pickup, the member collects it at the desk on their next visit, and the return is recorded with who handed it over.

Locker clear-outs, valuables and holding periods

Locker clear-outs stop being a mystery bag. Each item is logged with where it was found, such as a locker number or changing room, and where it is stored, so a member asking about their trainers gets a straight answer.

Keys, rings, bank cards and phones can be listed with the photo kept private. The listing says a set of car keys was found in the studio; the owner proves it by describing the key ring or the car. Your club sets a holding period, expiring items are surfaced before they lapse, and towels and clothing can be donated or discarded on the record. CSV export is included on both plans.

What your members experience

Instead of waiting at a busy desk while someone digs through a box, the member scans the QR sign, searches “shaker”, and sees it. If nothing matches yet, they can report what they lost, see possible matches right away, and get one email if a matching item is logged later. Messages and status updates arrive through a private link by email. The page carries your club’s name, colours and cover photo.

Frequently asked questions

Is it worth it for a single club, or only for chains?+

A single club is the most common starting point: one location, one branded page, one inventory. If you run several clubs, one login can manage multiple venues, each with its own page and subscription, so a member of one site never searches another site’s lost property.

How do members find our lost and found page?+

Put the printable QR sign at the front desk and in the changing rooms, and add the link to your website and member emails. When someone asks at the desk, staff send the link instead of searching the box while a queue forms.

What do we do with clothes left in lockers at closing?+

Log them with the locker or changing room as the place found and the back office shelf as the place stored. They wait out your holding period, expiring items are surfaced in the workspace, and anything unclaimed is donated or discarded with a record of what happened.

Can every front desk shift use it?+

On Pro, yes. Pro includes unlimited team members, each with their own login, plus phone photo capture and photo-led browsing for members. Starter is a text-based register for one team member with 100 new items a year, which suits a small studio.

How do we stop the wrong person collecting keys or a ring?+

Keep the photo private and let the claim do the work. Category-specific verification questions ask for details only the owner would know, the claimant can attach proof photos, and staff accept or decline before anything is released.
