How to Run an Equipment Desk: Laptops, Chargers and More
A reliable equipment desk labels every asset, protects reservation capacity, checks out complete kits atomically, applies clear borrower rules and uses maintenance logs and stock-takes to keep the shelf accurate.
The essentials
- Label every asset and record its serial, value and warranty details.
- Reserve specific items or categories without double-booking capacity.
- Check out complete kits in one transaction, with clear borrower limits.
- Use maintenance reminders and scan-based stock-takes to find problems early.
Build a reliable asset record
Give every laptop, camera, charger and accessory its own label, even when several look identical. Record the serial number, value, purchase date and warranty so the desk can identify one physical item and the team knows what needs service.
vFound Equipment prints a QR label for every item. You can add items from photos, import CSV exports from Snipe-IT, Sortly or Cheqroom, and keep up to ten venue-specific fields.
Reserve capacity before it is needed
A reservation should protect real capacity. Let someone book a specific camera when that exact unit matters, or any available item in a category when it does not. Overlapping reservations and checkouts must use the same availability rules.
vFound supports both choices, optional approval by category, email updates, a calendar entry and pickup straight into a checkout.
Hand out kits in one transaction
A laptop kit may include the computer, charger, bag and adapter. Treat it as one checkout so a failed or unavailable item cannot leave half a kit recorded as out.
At the desk, staff scan items or pick a saved kit. At a paired kiosk, a borrower uses an exact email or ID reference, scans each label and signs. The kiosk never shows the people list.
Set borrower rules once
Clear rules prevent arguments. Set a maximum number of items per person, block a new checkout while they have something overdue, choose a duration by category and align due times with opening hours.
vFound enforces those rules inside the same locked checkout that protects inventory, so two desks cannot hand out the same item at once.
Let reminders do the chasing
vFound emails a receipt, a reminder before anything out for six hours or more is due, and up to three overdue reminders a day apart. Borrowers can use My vFound to see their equipment, ask for more time, reserve another item or report a problem.
Maintain and count what you own
Log inspections, repairs and service dates against the item rather than in a separate notebook. Before an event or term starts, open a stock-take and scan the shelf. Finishing it shows which available or repair items were not seen.
Record how each item came back
Scan each return and record whether it is good, damaged or incomplete. Damaged and incomplete items can move straight to repair. The checkout stays partial until every item in the group is returned or marked lost, preserving a clear history.
Frequently asked questions
Can vFound reserve equipment in advance?
Yes. Reserve a specific item or any available item in a category. A category can require approval, and overlapping reservations and checkouts are refused.
Can borrowers check equipment out themselves?
Yes. A paired kiosk accepts an exact people-list email or ID reference, equipment label scans and a signature. It never displays the people list.
Can we import our current equipment?
Yes. Preview and import up to 5,000 rows at a time using vFound, Snipe-IT, Sortly or Cheqroom CSV headings.
How long is checkout history kept?
Finished checkout records and signatures are deleted 13 months after every item comes back or is marked lost. Asset and maintenance records stay until the venue closes its account.
