On most campuses, lost property fragments across the library desk, the athletics centre, security, and a dozen departmental offices. A student who lost a laptop charger must guess which building has it and visit each desk in office hours. Many give up; the drawers fill with unclaimed property.

  • Any desk snaps a photo and vFound AI suggests the title, category, colour, a brand it can read on the item and a description, ready to check and save.
  • Staff at any desk can email or forward photos to your venue’s private address, up to 100 a day; each waits in Inventory, where vFound AI fills in the details when staff open it. Only your own team’s addresses are accepted.
  • Students can search with a photo of what they lost, or of a similar charger or water bottle; the photo is used for that search only and is not stored.
  • A student who reports a loss sees likely matches ranked with a one-line reason, and a standing watch emails them each time a likely match is logged, for 90 days.
  • If the same laptop seems to have been logged at two desks, vFound AI flags a possible duplicate, and staff keep the earlier record or dismiss the warning.
  • The claim check compares a student’s answers and proof photos with your private record and flags answers copied from the public listing. AI suggests. Your team decides.

Accountability that survives staff turnover

Student workers rotate every term. In vFound each team member has their own login and a role (owner, manager, staff or viewer), every log, claim decision and return carries attribution, and access is paused when a placement ends. The history stays with the venue.

Can multiple buildings share one lost and found?+

Yes, and that is the recommended setup. Every desk logs into the same workspace, each item records where it was found and which desk is storing it, and students search a single campus page. Desks can also email up to 100 photos of found items a day to the venue’s private address, where each one waits in Inventory.

Do students need an account to search or claim?+

No. The catalogue is public on your campus’s branded page, and a claim just needs contact details plus a private description that proves ownership. Status updates arrive through a private link by email, with no app to install, and guest pages and emails work in twelve languages.

How do we handle student IDs and sensitive documents?+

Keep the photo private and let the description do the work. When photo auto-fill reads a photo that shows an ID, a bank card or a lit screen, vFound AI’s privacy guard switches that photo to staff-only. The item stays findable (“student card found in the library”), while the name and number stay inside staff view and become the verification question.

What happens at end of term?+

End of term becomes a reviewed, recorded clear-out instead of an undocumented purge. Items carry holding periods, expiring inventory is surfaced in the workspace before it lapses, and each item is donated, disposed of or retained on the record. Bulk actions handle a whole shelf at once, and numbered donation and disposal batches come with a certificate.

Does vFound AI decide who gets a laptop back?+
