FOR EVENTS & FESTIVALS

Event lost and found software: the event ends, the lost property doesn’t.

Event lost and found software keeps working after the site is struck: found items are photographed and published to a page attendees can browse from home, claims are verified with private details, and returns are shipped long after the last stage went dark.

vFound was built for exactly this shape of problem: a short, intense collection window, then weeks of people asking whether anyone found their things. Crew snap a photo and vFound AI writes the listing; attendees search in six languages or with a photo of what they lost, vFound AI suggests likely matches, and your team decides each claim.

VFOUND LOST & FOUND, EXPLAINED

The lost and found journey, in one short film.

Why events are the hardest lost and found

A festival compresses a city’s worth of lost property into a weekend, then removes the venue. Attendees leave in their thousands, the site office closes, and the organizer is left with crates of phones, cards, sunglasses, tents and chargers, and an inbox of messages that all start with “I think I lost…”.

Without a system, the crates end up in someone’s office and the messages get answered by memory. With a description-only spreadsheet, matching is guesswork. The fix is the photograph: people recognize their own belongings instantly, even when they can’t describe them.

From site sweep to doorstep return

During and after the event, crew photograph and log items from their phones, with no hardware and nothing to install, and as many people can log at once as you have crew. vFound AI writes the listings from the photos, and the catalogue lives on your event’s own branded vFound page.

  • Publish the page link in your post-event email and social channels. Attendees search photos instead of emailing descriptions.
  • Claims collect private identifying details, so the crew can verify ownership honestly and quickly.
  • Returns by post are arranged in the claim’s private messages, local attendees can book a pickup time with an add-to-calendar link and a reminder, and every completed return is recorded.
  • When the holding window closes, remaining items are moved to donation or disposal with an audit trail, and the event is cleanly closed out.

vFound AI for the weeks after the gates close

An event’s lost property arrives in one rush, and the messages about it trickle in for weeks from people who have gone home, some written in other languages. vFound AI writes the listings, ranks likely matches for lost reports and checks new claims against your private record, all within a fair-use allowance.

  • Crew snap a photo and vFound AI suggests the title, category, colour, a brand it can read on the item and a description, ready to check and save.
  • If two crew members log what looks like the same jacket, vFound AI flags a possible duplicate, and staff keep the earlier record or dismiss the warning.
  • Attendees can describe a loss in their own words and language; vFound AI asks a few short questions, fills in the report for them to check and send, and ranks likely matches with a one-line reason for each.
  • A standing watch keeps checking new items for 90 days and emails the attendee each time a likely match is logged.
  • Messages in another language are translated for your crew, and staff reply in the attendee’s language, starting from a draft written by vFound AI.
  • The claim check compares a claim’s answers and proof photos with your private record, with red flags and a question to ask next. AI suggests. Your team decides.

One organizer, many events

Each event venue gets its own website and subscription, and one login runs them all, with an overview of every venue. Prepare the page before your event, publish photos during it and handle returns afterwards. Item dates help your team distinguish one edition from another.

One line of code adds the lost and found to your festival website as an embedded page or a floating button, and you can run it on a subdomain of your festival’s own website, such as lostandfound.yourfestival.com. New claims and lost reports can also post to Slack, Microsoft Teams or Google Chat, with no guest personal details included.

Frequently asked questions

Can we run lost and found for a one-off event?+

Yes. Verify your email and add a valid card in Stripe Checkout to start a 14-day free trial. Your selected products are billed yearly when the trial ends unless you cancel first.

How do attendees find the page after they’ve left?+

They find it at your event’s own vFound address, which you link from post-event emails, the event website and social replies. It stays live while your subscription is active, so an attendee two provinces away can still find and claim their jacket. If the subscription lapses, the page goes offline until you subscribe again, and your records stay saved. The page works in twelve languages, and attendees can also search with a photo.

How does shipping work for returns?+

Your team verifies ownership first, through the claim’s private details, then arranges the shipment with the attendee in the claim’s private messages and records the completed return. vFound takes no payments from guests, so you keep your own courier and any cost arrangement. Messages in another language are translated for your crew.

What about high-value items like phones and wallets?+

Publish the item with its photo kept private, or list it with a deliberately generic photo. Verification then leans on details only the owner would know, such as the lock screen, the contents or an engraving, which the claim form collects privately. You can also require a second manager’s approval before a high-value item is released.

How many staff can log items at once?+

As many as you have, because vFound includes unlimited team members. Every crew member with a browser can photograph and log at the same time under their own login, and each change to an item’s details is recorded in its history with the name of the person who made it. Crew can also email or forward photos to your venue’s private address to log later.

Can attendees report a loss in their own language?+

Yes. An attendee can describe the loss in their own words and language, and vFound AI asks a few short questions and fills in the report for them to check and send. Your crew reads the report translated, likely matches are ranked with a one-line reason, and a standing watch emails the attendee each time a likely match is logged, for 90 days.

Does vFound AI decide who gets an item back?+

No. vFound AI suggests likely matches and checks each claim against your private record, but it never changes a claim or an item on its own and never identifies people from images. A person on your crew decides each claim and each return, and you can switch AI off for the venue in Settings.

Close out your event without a crate of mysteries.

Photograph it, let vFound AI write the listing and suggest matches, then verify and return it your way. Start your 14-day free trial. A valid card is required; cancel before day 14 to avoid the yearly charge.
