Calculate first-year and renewal cost
First-year cash cost = all-site subscription + confirmed recurring extras + setup + hardware. For a monthly quote, multiply recurring costs by twelve. Do not multiply an annual invoice by twelve again. List taxes and delivery costs separately where applicable, and distinguish existing equipment from new purchases.
Renewal cash cost = renewal subscription + recurring extras + expected replacement or support costs. Ask whether the first-year offer expires.
Illustrative arithmetic, not a vendor quote: two sites at 100 currency units per month cost 2,400 for twelve months. Add 240 in confirmed yearly extras and 300 in one-time equipment, and the first-year total is 2,940 before tax. With the same subscription and extras and no new equipment, the next year is 2,640. Replace every number with your quote.
Measure staff time without inventing savings
Monthly handling hours = monthly parcels × measured minutes per parcel ÷ 60. Apply your own hourly staff cost for an estimate. Keep this separate from the cash bill: time freed at the desk does not automatically reduce payroll.
For example, 600 parcels taking two measured minutes each use 20 hours. This is illustrative arithmetic, not a vFound benchmark. Time the same tasks on your current process and each shortlisted tool: unclear labels, missing recipients, several parcels for one person and a collection needing correction. Record device, browser, sample size and whether training time is included.

Compare the right workflow and commitment
A free tier can suit a small volume if its limits cover your peak month and the workflow works for your staff. An annual paid plan may suit a predictable budget, but a monthly equivalent billed yearly is still an annual commitment.
