What is an equipment checkout policy? An equipment checkout policy is the written rules for borrowing a desk’s equipment: who may borrow, for how long, what happens when it is late and who pays if it is damaged or lost.

Two library policies compared

Some organisations call it an equipment borrowing policy. University of North Texas Libraries’ page, opened on 4 November 2026, says library laptops are only available to currently enrolled students, with a borrowing period of 24 hours and no renewals. Overdue fines are $5.00 per hour for laptops and $1.00 per hour for chargers, up to $100.00 per item, and patrons may be charged a damage or replacement fee.

New York City College of Technology’s library says laptops are for currently enrolled students with a valid library account in good standing, for 7 days, with late fines of $100 per day to a maximum of $400. It says borrowers are financially responsible for repair and replacement costs resulting from damage or loss. The two policies differ a great deal, which is why each desk writes its own.

Where vFound fits

vFound Equipment records each checkout and return against the rules you set: due times, reminders before something is due and borrower rules such as how long a category can be borrowed. It does not collect fines, deposits or membership payments.
