Lost and found software cost depends on who pays: the venue through a yearly subscription, the guest through a shipping fee, or neither on the invoice because the vendor earns from returns. The short answer

There is no single market price. Some tools are free to the venue and funded by guest return fees; others publish subscriptions or quote individually. RepoApp publishes yearly plans from US$999.99. vFound Lost & Found is US$75/month per venue, billed yearly at US$900. Compare the plan that includes your required guest website and photo workflow.

Keep software costs separate from return costs. vFound claims are free. Manual courier costs are arranged by the venue; optional paid return shipping on enabled, reviewed routes charges postage plus the separately displayed vFound service fee. The three pricing models

Free to the venue, funded by guest shipping fees. The venue pays nothing to use the software, and the guest pays to have an item sent back. Chargerback says it is free to partners and earns a small amount for each item it ships; in the process it describes, the owner pays a fee by card before the business prints a prepaid shipping label. This suits operations that ship many items and want no line on their own budget, but the guest carries the cost.

A published yearly plan. The venue pays a set price each year and decides how returns are handled. RepoApp lists Basic at $999.99, Plus at $1,399.99 and Premium at $1,999.99 a year, with Enterprise on request. vFound Lost & Found is US$75/month per venue, billed yearly at US$900, and claims are free and return postage is separate. This model fits venues that want a cost they can budget.

A price on request. Some vendors do not publish venue prices. iLost’s business terms say its fees follow its offer, the customer contract or its price list, and Boomerang asks businesses to request a conversation. NotLost refers buyers to its sales team, though its UK G-Cloud listing shows £10 a licence a month. Expect a sales call before you see a number, and ask what it includes.

Free lost and found software: who pays?

“Free” describes the invoice the venue receives, not whether the cost disappears. Somebody still pays for the software, the staff time and the postage. The useful question is who, and when.

  • The guest pays. Chargerback says it is free to partners, and in the process it describes the owner pays by card before a prepaid label is printed. Deliverback’s hotel page likewise lists the service as free for the hotel, with the receiving party paying the transit fee. Both fit venues that mostly ship items; an owner who collects in person is a different case, so ask what the vendor does then.
  • The venue pays. A yearly subscription is paid whether or not a single item is shipped. RepoApp and vFound publish their yearly prices above; vFound adds no guest fee for browsing or claiming.
  • Staff pay in time. A free tool still needs someone to photograph, describe, store and answer. Count those hours the same way for every option.

Ask any free vendor: who is charged when an item ships, what happens to items collected in person, whether guests can browse a public photo catalogue or only start a request, and whether you keep your records and photos if you leave.

What drives the cost

Beyond the model, four things move the price: the number of venues or licences, the volume of items, the number of staff seats and the features. Plans with user or item allowances, or with features kept for higher tiers, cost more as you grow: RepoApp, for example, lists webcam photo capture from its Plus plan, and its website item list and claim forms on Premium and Enterprise.

The sticker price is only half the calculation. A lost and found that runs on phone tag and mismatched returns has a real cost in staff time and goodwill. When you compare tools, weigh the subscription against the hours a searchable photo gallery and verified claims give back to your team.

Build a yearly cost worksheet

Ask every shortlisted vendor for the same inputs. Keep its currency and billing unit visible; do not compare a first-year promotion with a normal renewal price without labelling the difference.

Illustrative calculation: three venues using vFound Lost & Found cost 3 × US$900 = US$2,700 a year for that product. Does AI cost extra?

AI is a newer line on the feature list, so ask two questions before you compare prices: is it included in the plan or billed per use, and can you switch it off? Per-use billing makes your busiest months your most expensive ones, which is hard to budget for.
